Participation FAQ
Q. Is the conference open to non-academic individuals?
A. Yes, we welcome all attendees ; researchers, students, or non-academic individuals. Please complete the participation from here.
Q. Can I attend the conference without presenting?
A. Yes, you can attend the conference as member of the general public (non-presenter). All you need is to complete your on-line registration and payment. Please choose the option “general public” on the registration form.
Q. What if I miss a submission deadline?
A. If you missed a deadline, please email [icts.kanazawa@gmail.com].
Q. I need a Letter of Invitation for my travel visa. What can I do?
A. You should first complete your registration and then you will be able to request your invitation letter at [icts.kanazawa@gmail.com]. Participants who need to obtain a Visa are encouraged to register several months in advance.
Q. What should I do if my extended abstract is going to exceed 6 pages?
A. You write all of your planned content and the number of pages is not enough, you may extend it up to 8 pages.
Q. Would it be possible to hold this presentation in hybrid mode? (presenter: on-site, co-author: on-line)
A. Yes, you can participate with your co-presenter in a hybrid mode.
Fee FAQ
Q. What is included in the registration fee?
A. In-Person Participants: Oral and Poster Authors & General Public
[1] Admission to all oral sessions
[2] Admission to poster sessions.
[3] Wi-Fi connection at the venue.
[4] A printed Conference Program.
[5] Online access to ICTS2023 Program and Proceedings.
[6] Conference bag.
[7] Conference material (tourist information package, conference gift, etc…)
[8] Snacks/Coffee breaks (daily: morning and afternoon, Monday and Tuesday)
[9] Conference buffet lunches (Monday and Tuesday)
[10] Attendance and/or Author certificates.
[11] Attendance at the social/tourist activities (Wednesday): Sightseeing tour of Kanazawa, with English- speaking tour guides. All participants are invited to bring their accompanying partners.
[12] Special rates for accommodation at the venue hotel. (check-in; March 19th checkout; 21st)
[13] An invoice of the registration fee will be provided along with the conference material.

Q. Are meals included in the registration fee?
A. All registered attendees are invited to join 4 coffee snacks (morning and afternoon on Monday and Tuesday) and 2 buffet lunches (Monday and Tuesday).
If any accompanying person is interested in joining the lunches, individual tickets can be bought at the Registration Desk (at 4,500 JPY).
Q. What happens if I need to cancel my participation?
A. Refunds and cancellation requests must be received in writing before February 20th, 2023. There is a 30 USD service charge for refunds on registrations. Bank taxes must be paid by the participants. Otherwise, the amount will be charged at the registration desk.

Q. Can I change my presentation from onsite to virtual?
A. If you will not be able to attend the conference and/or wish to request a change into online, please send an email to [icts-kanazawa@gmail.com]
Q. Can I republish my presentation in a journal or at another conference?
A. Regarding the contents of your paper, you can use the published content that you generated and write similar versions of it to publish it elsewhere, but you cannot present exactly the same article in other conferences or journals. This does not hinder you using the published content and re-writing another paper with a similar version for other publication purposes.
Other FAQ
Q. Is there Internet access available?
A. Free Wi-Fi Internet access is available in all venues for guests using laptop PCs, tablet devices, and smartphones. SSID and password will be informed at the venue.
Q. What if the conference is cancelled?
A. We will provide a full refund of the registration fee if ICTS 2023 is cancelled by organizing committee. However, they will not be refunded in the event of unexpected emigration & immigration policy change of both your country and Japan.
Q. Is there any dress code?
A. The suggested dress code is business casual but you can wear whatever makes you feel comfortable during the conference. As the expected temperature in Kanazawa around March 20 is about 5℃, please dress warmly. A cloakroom is available for coats.
Q. Can I bring an accompanying person to the sightseeing tour on Wednesday?
A. ICTS2023 invites you to take part in a sightseeing tour to Kanazawa on the 22th of March from 9:00 to 12:00 (the registration to this activity is cost-free for all attendees).
It will consist of a walking tour o the most important and interesting places in Kanazawa. It will be guided in English. Accompanying persons are also invited to join this activity (at 1,000 JPY).
If you are interested in joining, please confirm it at the Registration Desk on the 20th of March.
